The Outreach & Events Coordinator is responsible for organizing, implementing, and promoting events to raise awareness about Connecticut River Conservancy’s programs and encourage environmental action in alignment with strategic initiatives. This role will also work to leverage and deepen partnerships that further CRC’s goals of clean water, healthy habitats, and resilient communities. This is a collaborative position that will work closely with the Communications Director, Events Manager, programs staff and River Stewards, and community partners to elevate the visibility of CRC’s initiatives with a focus on Diversity, Equity, Inclusion, and Belonging (DEIB). Event Coordination: Support the Events Manager in executing major CRC events such as the Source to Sea Cleanup, Annual Meeting, and Riverfest/New England Paddlesports Championship Develop, implement, and/or promote events (in-person and virtual) in coordination with staff members across departments to serve a variety of goals including education, river experiences, and highlighting programmatic work areas Responsible for organizational and logistical tasks including organizing event materials, packing items for volunteers or guests, contacting vendors for pricing or orders, tracking attendance, and ensuring registration systems are set up Travel throughout the watershed in NH, VT, MA, and CT as needed to attend events or volunteer activities, serve as a CRC representative, set up tabling materials, and meet with community partners Invite and organize subject matter experts including staff, board, and regional collaborators to participate in events and community engagement opportunities Support partners in implementing or promoting their events when appropriate Outreach and Community Engagement: Conduct targeted outreach and create promotional content to advertise events or programs for a variety of audiences and distribution channels Support volunteers for CRC programs by publishing event details, responding to inquiries, and sending volunteer acknowledgments Recommend and implement different ways to reach underserved communities or those who CRC has not previously engaged in outreach through events Reach out to contacts in the community such as local businesses, schools, nonprofits, and environmental clubs to develop partnerships for future events and collaboration Systems and Documentation: Maintain records of community partners, outreach results and contacts, event registrations, vendors, volunteers, and other details to inform future efforts Customize software as needed to ensure engagement opportunities online are accessible, functional, and clear for both internal stakeholders and the public Ensure thoughtful engagement and follow-up with event attendees and volunteers When attending events, take photos to document the activities and provide written summaries for CRC’s staff, blog, social media, email, or other communications Qualifications Demonstrated experience in events coordination, including having taken events from idea through execution with clear results Tech-savvy with an ability to develop efficient processes, and quickly troubleshoot technology or software-related needs Demonstrated commitment to promoting diversity, equity, inclusion, and fostering belonging in both workplace culture and public activities Excellent organizational skills and attention to detail Writing and communication experience across a range of mediums including event descriptions, blog posts, newsletters, and social media Capacity for public speaking and ability to comfortably connect in-person with a variety of external constituencies as well as staff Some graphic design experience with content assets such as social media graphics Excellent public speaking skills and comfort in taking the lead to organize and facilitate groups Clean driving record and ability to access events in all four watershed states While not required, familiarity with the Connecticut River watershed is a plus Ability to lift and carry up to 40 pounds Ability to stand or sit for extended periods of time Comfort with attending events on evenings or weekends when necessary Are you excited about this opportunity and don’t meet every requirement? The Executive Assistant is responsible for a wide range of duties supporting the Executive Director, CRC staff, and the Board of Trustees. As a member of the administrative team, this role is vital in contributing to effective administrative processes in support of our dynamic, watershed-wide organization. Responsibilities include executive support such as managing calendars, travel arrangements, policy and procedure development, and electronic filing systems, as well as organizational duties that bring people together in service of decision-making and progress. We are seeking candidates with professional experience in supporting executive teams, and a wide range of staff, Board of Trustees members, partners, vendors, and other stakeholders. Primary Responsibilities ● Calendars: Manage the Executive Director (ED) calendar, schedule meetings and public presentations, and coordinate with others to align meeting dates ● Contracts : Coordinatethe ED’s review and approval of contracts, including grants, vendor contracts, memoranda of understanding, and other documents ● Policies & procedures: Update, develop and maintain CRC policies and procedures ● General support : Assist ED with administrative tasks related to projects, and provide support with communication, information gathering and research;, Coordinate with other staff and Board as needed ● Email/Electronic Communications : Adminsterand organize ED electronic communications ● Filing system: AdministerCRC filing systems including creating naming protocols, eliminating file duplication, managing private ED files, managing staff-wide files, and uploading older documents (to include scanning and moving files) ● Meetings : Provide administration to support monthly face-to-face Staff Meetings, including developing agendas and other communications ● Board of Trustees: Provide support to the Board,including updating a master annual calendar, collating and distributing the quarterly Board packet, maintaining Board files, managing quarterly Board meetings, documenting Board votes and action items, keeping and filing minutes, and calendaring and staffing Committee meetings (including Finance, Governance, Strategic Planning and Executive Committees) ● Organizational Systems Management : Make recommendations of ways to improve internal organizational systems, communications, and processes to ensure clarity, efficiency, and usefulness for staff and Board.
